# Contact Tags: Create and Manage Tags for Clients and Agents

> Create, edit and delete contact tags in Hive Inspect, set up a Clients tag and an Agents tag that are added automatically, and use tags to filter contacts, import files and target automations.

In the dashboard: **Contacts → Manage Tags**.

Tags group your contacts, for example **Clients**, **Agents** or **Lenders**. A contact can have as many tags as you like. You use tags to:

* **Filter** the [Contacts list](/how-tos/contacts-list#filter-by-tag) and export just that group.
* **Label a whole file** when you [import contacts](/how-tos/import-contacts).
* **Target automations** with the **Contact Tag Filter**, for example a thank-you email that only goes to agents. See [Automation Settings: Advanced](/how-tos/automation-advanced-settings).
* **Email a group** with **Add all contacts with tag** in [Compose Email](/how-tos/compose-email).
* **Sync to Mailchimp** as Mailchimp tags. See [Mailchimp](/integrations/mailchimp).

A tag on its own never sends anything.

## Recommended: a Clients tag and an Agents tag

Most inspection companies start with two tags: one for **clients** and one for **agents**. With **Also add instantly when linked to an inspection as…**, Hive adds them for you every time someone is added to an inspection, so you never tag new people by hand.

| Tag | Also add instantly when linked to an inspection as… | Who gets it |
| - | - | - |
| **Clients** | **Client** | Everyone added to an inspection as the client |
| **Agents** | **Buyer Agent** and **Listing Agent** | Every buyer's agent and listing agent on your inspections |

![Create New Tag with Tag Name Clients, Notes Everyone who books an inspection, and Client chosen under Also add instantly when linked to an inspection as](https://mintcdn.com/hiveinspect-43c85ed1/vzwr2nAKoSOoZqO8/images/how-tos/contacts-tags-new-clients.png?fit=max\&auto=format\&n=vzwr2nAKoSOoZqO8\&q=85\&s=129cbbfac8dab460399568a74d0c00d7)

![Editing the Agents tag with Buyer Agent and Listing Agent chosen under Also add instantly when linked to an inspection as](https://mintcdn.com/hiveinspect-43c85ed1/vzwr2nAKoSOoZqO8/images/how-tos/contacts-tags-edit-agents.png?fit=max\&auto=format\&n=vzwr2nAKoSOoZqO8\&q=85\&s=9425e0a9e9c91ef9e994580ace8ebfaf)

Why two tags work well:

* **Different messages for different people.** Clients and agents need different emails. In each automation, use the **Contact Tag Filter** to send agent emails only to **Agents** and client emails only to **Clients**.
* **Clean imports.** When you move over from other software, import your clients file with the **Clients** tag and your agents file with the **Agents** tag. Everyone lands in the right group from day one. See [Import contacts](/how-tos/import-contacts#tag-the-contacts-in-your-file).
* **One-click lists.** Filter the Contacts list by **Agents** to see or export your whole agent list.

> [!NOTE]
>
> **"Also add instantly" only works going forward.** It tags people when they're added to an inspection after you save the tag. It doesn't go back and tag contacts who are already on your inspections. To catch those too:
>
> * Tag them when you [import](/how-tos/import-contacts#tag-the-contacts-in-your-file) them, or
> * On the same tag, turn on **Auto Tagging**, set **Auto Tag Person** to **Client** (or **Agent**), add the rule **Total Inspections Count · Greater Than · 0**, save, and click **Apply now**. Everyone with at least one confirmed inspection gets the tag. Leave **Remove Tag on Rule Fail** off. See [Auto-Tag Your Contacts](/how-tos/auto-tagging-contacts).

You can add more tags for other contact types the same way, for example a **Lenders** tag added instantly to every **Lender**.

***

## Create a tag

1. Go to **Contacts** and click **Manage Tags**.
2. Click **Add New Tag**.
3. Type a **Tag Name**, like **Agents**. Names must be unique: you can't have both "VIP Agent" and "vip agent".
4. Optional: add **Notes** to remind your team what the tag is for. They show under the tag's name.
5. Optional: under **Also add instantly when linked to an inspection as…**, pick one or more contact types (see [below](#also-add-instantly-when-linked-to-an-inspection)).
6. Optional: turn on **Auto Tagging** to tag agents or clients by rules such as inspection count or revenue. See [Auto-Tag Your Contacts](/how-tos/auto-tagging-contacts).
7. Click **Save Tag**.

If **Auto Tagging** is on, a preview opens after you save, showing who would get the tag.

## Also add instantly when linked to an inspection

Pick the contact types that should always get this tag. Whenever a contact is added to an inspection as one of those types, Hive adds the tag right away.

![The Also add instantly when linked to an inspection as list open, showing Client, Buyer Agent, Listing Agent, Sub Contractor, Insurance Agent and Lender](https://mintcdn.com/hiveinspect-43c85ed1/vzwr2nAKoSOoZqO8/images/how-tos/contacts-tags-instant-menu.png?fit=max\&auto=format\&n=vzwr2nAKoSOoZqO8\&q=85\&s=1ffc474b1422bbf242a0ce950e5d0d26)

The types are: **Client**, **Buyer Agent**, **Listing Agent**, **Sub Contractor**, **Insurance Agent**, **Lender**, **Builder**, **Transaction Coordinator**, **Attorney**, **Title Company** and **Other**.

* Each type you pick shows as a chip under the box. Click the **×** on a chip to remove it.
* It works however the contact is added: on a new inspection, on an existing one, or when a client books through your [scheduling widget](/how-tos/scheduling-widget).
* The tag is added **before** the inspection's automations check their tag filters, so an automation filtered on this tag sees it straight away.
* It **never removes** a tag. If you take someone off an inspection, they keep the tag.
* It works for any contact type. [Auto Tagging](/how-tos/auto-tagging-contacts) only covers agents and clients, but uses rules.

## Your Tags list

Every tag is listed under **Your Tags**, with its notes and what adds it automatically.

![Manage Contact Tags page listing Clients, Agents, Top Producer, Lenders and Repeat Client with their notes, Auto chips and Rules badges](https://mintcdn.com/hiveinspect-43c85ed1/vzwr2nAKoSOoZqO8/images/how-tos/contacts-tags-list.png?fit=max\&auto=format\&n=vzwr2nAKoSOoZqO8\&q=85\&s=263b0c7ce7599a97f32b70fbad52294e)

* **Auto:** followed by contact types means **Also add instantly** is set.
* **Rules** means the tag uses **Auto Tagging** (it reads **Rules off** if the rules are saved but switched off). Hover it to read the rules. **Last run** shows the last time the rules ran and how many contacts gained (+) or lost (−) the tag.

The buttons on the right of each tag:

![A tag row with five buttons on the right: play, history, people, pencil and trash](https://mintcdn.com/hiveinspect-43c85ed1/vzwr2nAKoSOoZqO8/images/how-tos/contacts-tags-row.png?fit=max\&auto=format\&n=vzwr2nAKoSOoZqO8\&q=85\&s=756fcfb1411d1a9ba582ecc01a49d5d7)

| Button | What it does |
| - | - |
| ▶ **Preview & apply** | Auto Tagging tags only. Shows who would gain or lose the tag right now, with **Apply now**. |
| 🕘 **History** | Auto Tagging tags only. The last runs of the rules, with **Undo** on the latest one. |
| 👥 **View contacts** | Opens **Contacts** filtered to this tag. |
| ✏️ **Edit** | Change the name, notes, instant types or rules, then click **Save Changes**. |
| 🗑 **Delete** | Deletes the tag (see below). |

***

## Edit or rename a tag

Click the ✏️ pencil on the tag, make your changes and click **Save Changes**. Renaming a tag keeps it on every contact who has it. Automations that filter on the tag keep working, because they use the tag itself, not its name.

***

## Delete a tag

Click the 🗑 trash icon on the tag, then **Delete Tag** to confirm.

![Delete Tag dialog: This will remove the tag from all contacts that have it assigned. This action cannot be undone.](https://mintcdn.com/hiveinspect-43c85ed1/vzwr2nAKoSOoZqO8/images/how-tos/contacts-tags-delete.png?fit=max\&auto=format\&n=vzwr2nAKoSOoZqO8\&q=85\&s=19d6952e3be4a09c6629d9b03ee775e8)

> [!WARNING]
>
> Deleting a tag removes it from **every contact** who has it, and it can't be undone. The contacts themselves are not deleted. Before you delete a tag, check that no automation uses it in its **Contact Tag Filter**.

***

## Add or remove a tag on one contact

Open the contact from **Contacts** and click tags in the **Tags** section to turn them on or off, then click **Save**. See [Edit a contact](/how-tos/edit-contact#tags).

## Frequently asked questions

> **Should I make one tag for agents or separate Buyer Agent and Listing Agent tags?**
>
> One **Agents** tag with both **Buyer Agent** and **Listing Agent** picked is enough for most companies. Make separate tags only if you send buyer's agents and listing agents different messages.

> **I set up Also add instantly, but my existing clients don't have the tag. Why?**
>
> It only tags people added to an inspection after you saved the tag. For people already on your inspections, use **Auto Tagging** on the same tag with **Total Inspections Count · Greater Than · 0** and click **Apply now**, or tag them by hand. See the [note above](#recommended-a-clients-tag-and-an-agents-tag).

> **Does a contact lose the tag if I remove them from the inspection?**
>
> No. **Also add instantly** only ever adds tags. Remove it by hand on the contact if you need to.

> **Why do some screens say Customer instead of Client?**
>
> They're the same contact type. A few automation screens, such as the recipient list, still call the client **Customer**.

> **Can I import the tags from my old software?**
>
> Not from the file itself. Pick one or more tags under **Assign Tags (Optional)** when you import, and every contact in that file gets them. If you need each contact's own tags from the file, send the file to our team through the chat bubble or at [support@hiveinspect.com](mailto:support@hiveinspect.com).
