# Report Editor Basics in the Hive Inspect Mobile App: Sections

> Find your way around the mobile report editor: sections, subsections, ratings (IN, NI, NP, D), progress, the Sync button, adding, renaming, copying, deleting and restoring sections.

In the mobile app: open an inspection → **Report Editor** → tap a report.

The report editor is where you write the report on site. It has three levels:

1. **Sections**, such as Roof, Exterior or Electrical.
2. **Subsections** inside each section, such as Coverings, Flashings and Roof Drainage Systems. Each one has a rating.
3. **Comments** inside each subsection, grouped as **Information**, **Limitations** and **Defects/ Deficiencies**.

This page covers the first two levels and the tools around them. For the comments themselves, see [Comments on mobile](https://docs.hiveinspect.com/how-tos/mobile-comments.md).

## The Sections screen

![The Sections screen of the report editor, 12 sections. Header: back arrow, Sections, a search button, a three-dots button and a green Synced button. Rows: Inspection Details, Roof (red badge 2), Exterior (red flag and badge 2), Basement, Foundation, Crawlspace & Structure (2/7), Heating (0/4), Cooling (0/3), Plumbing (1/7), Electrical (red badge 1 and 1/7) and Attic, Insulation & Ventilation (0/5), each with a coloured line on the left and a three-dots button. At the bottom left a blue menu button and a Smart Add button](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-sections.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=f0e0a69c38022755ca291434ee66d646)

### The header

| Button | What it does |
| - | - |
| **Back arrow** | Goes back to the report list. Your work stays saved on the phone. |
| **Search** | Searches every comment in the report. See [Search and flagged comments](https://docs.hiveinspect.com/how-tos/mobile-search-and-flags.md). |
| **Three dots** | Opens **Report Settings**: the report name, introduction, summary and cover photo. See [Report settings on mobile](https://docs.hiveinspect.com/how-tos/mobile-report-settings.md). |
| **Sync** | Sends your changes to Hive. See [The Sync button](#the-sync-button). |

### What each section row shows

| Part | What it means |
| - | - |
| **Coloured line** on the left | **Blue**: visited. **Green**: finished. **Grey**: not started. |
| **Red flag** | At least one comment in the section is flagged for attention. |
| **Red number** | How many defects are turned on in the section. |
| **Purple number** | On a re-inspection, how many re-inspection items are in the section. |
| **2/7** | Seven subsections, two of them visited. It disappears once the section is visited. |
| **Three dots** | **Edit**, **Copy** and **Delete** for this section. |

Tap a section to open its subsections.

### When a section counts as visited

A **subsection** is visited when you've opened it and answered every multiple-choice and text question in its **Information** group. Checkboxes don't count. A subsection with no such questions is visited as soon as you open it.

A **section** is visited when all of its subsections are visited. If you clear an answer later, the subsection goes back to not visited.

The ring in the [menu bar](#the-menu-bar) shows how many sections are visited, as a percentage.

## Subsections and ratings

![The Roof section with 5 subsections: Coverings (red badge 1) rated IN and D, Flashings rated IN, General rated IN, Roof Drainage Systems (red badge 1) rated IN and D, and Skylights, Chimneys & Other Roof Penetrations rated NP. Each row has four rating buttons IN, NI, NP and D and a three-dots button. Below: Restore and Add Subsection buttons, a grid button and a round next-section arrow](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-subsections.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=44b7d97cc3672830ceac1aef2674defc)

Every subsection has a row of rating buttons. By default they are:

| Button | Meaning |
| - | - |
| **IN** (green) | Inspected |
| **NI** (orange) | Not Inspected |
| **NP** (grey) | Not Present |
| **D** (red) | Defect/Deficiency |

Tap a button to turn it on or off. You can pick more than one, for example **IN** and **D** when you inspected something and found a defect. Your company can change the buttons in the template's settings, so yours may differ. The rating also shows on the client's report.

When you turn on a defect, the app can turn on **D** for you, if your template is set up to do that.

The other buttons on this screen:

* **Three dots** on a row: **Edit**, **Copy** or **Delete** the subsection.
* **Restore** and **Add Subsection**: work like the section buttons below.
* **Private Notes** (a document icon in the header): shows the template's private notes for this section, such as reminders of what to check. It only appears when there are notes. You can't change them in the app; they're set in the template on the dashboard.
* **Grid** button: back to the Sections screen.
* **Arrow** button: the next section, in report order.

## The comment list

Tap a subsection to open its comments. They're grouped in coloured cards:

![The Roof Drainage Systems subsection: the end of a green Information card (1) with a media row, a Description box and Template, Duplicate and delete buttons, an Add Comment button; a yellow Limitations card (0) with Add Comment; and a red Defects/ Deficiencies card (8) starting with the checked defect Downspouts Drain Near House, its description and a camera button showing 2 photos](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-comment-list.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=89b973f86b6e17227bc6f52f166296f7)

| Card | Colour | What goes in it |
| - | - | - |
| **Information** | Green | Facts about the item, such as the material or type. Usually multiple choice. |
| **Limitations** | Yellow | What you couldn't inspect and why. |
| **Defects/ Deficiencies** | Red | Problems you found, with a category, a recommended service and photos. |
| **Reinspection** | Purple | Only on re-inspection reports: the items being checked again. |

* The number on each card is how many comments it has.
* **+** on a card, or **Add Comment** at its bottom, adds a comment of that type. See [Add a comment](https://docs.hiveinspect.com/how-tos/mobile-add-comment.md).
* Tap a card's title to fold it away.
* When you open a subsection, the defects you've turned on move to the top of the list. The order then stays put while you work, so the list doesn't jump when you check things.
* The rating buttons for the subsection are at the top of the list too.
* The **arrow** button goes to the next subsection, and the **grid** button goes back to the Sections screen.

## The menu bar

The round blue **menu** button at the bottom left opens the menu bar:

![The open menu bar at the bottom of the report editor: a ring showing 25%, an orange warning button with the number 5, a CYA photos button with the number 3, a CYA camera button and a down arrow to close the bar](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-menu-bar.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=23b8f5b2f7c748d682edda397d222399)

| Button | What it does |
| - | - |
| **Ring** | The share of sections you've visited, for example **25%** when 3 of 12 are visited. Hidden sections don't count. |
| **Warning** button | Opens the **Defect Summary**: every defect you've turned on, in one list. The number is how many. See [Defect Summary](https://docs.hiveinspect.com/how-tos/mobile-defect-summary.md). |
| **CYA** photos button | Opens your CYA photo bank. The number is how many photos are in it. |
| **CYA** camera button | Takes or picks CYA photos. See [CYA photos](https://docs.hiveinspect.com/how-tos/mobile-cya-photos.md). |
| **Down arrow** | Closes the bar. |

Next to the menu button is the **Smart Add** button, to add a comment by describing what you found. See [Smart Add](https://docs.hiveinspect.com/how-tos/smart-add.md).

## Add, rename, copy and delete sections

### Add a section

At the bottom of the Sections screen:

![The bottom of the Sections screen: rows Electrical, Attic, Insulation & Ventilation, Doors, Windows & Interior, Built-in Appliances and Garage, then a yellow Hidden (1) button and Restore and Add Section buttons](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-sections-bottom.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=b3e218c7a184b3e1735f7f6ef9bc5d9d)

1. Tap **Add Section**.
2. Type the **Section Name** (up to 100 characters).
3. Tap **Create Section**.

![The Add New Section sheet with a Section Name box (Enter section name...) and a Create Section button](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-add-section.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=51581196691cf7490d3ec6c1935bb4cd)

The new section is empty and goes at the end. Add subsections to it the same way, with **Add Subsection**. A new section only exists in this report, not in your template.

### Rename, copy or delete

Tap the **three dots** on a section (or subsection) row. The row slides open:

![The Roof row slid to the left, showing three buttons: Edit (orange), Copy (blue) and Delete (red)](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-row-menu.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=7a29ea570fa1b51db8f3833d733f4f84)

| Button | What it does |
| - | - |
| **Edit** | Renames it. Type the new name and tap **Save**. |
| **Copy** | Adds a copy straight away, with all its subsections and comments, for example for a second furnace or a second bathroom. |
| **Delete** | Removes it straight away. You can bring it back with **Restore**. |

![The Edit Section Name box with the text Roof and Cancel and Save buttons](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-rename.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=d4ddd2af3be11c92879bb405a009d344)

### Restore a deleted section

Tap **Restore** at the bottom of the screen, pick the section and tap **Restore Selected**. It comes back with everything that was in it. When nothing has been deleted, the window says "No Deleted Items: There are no deleted sections to restore."

![The Restore Deleted Section window with a green check, No Deleted Items, There are no deleted sections to restore, and a Done button](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-restore.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=d05d395ba64054091ddd58d05eb20e79)

### Reorder sections

Press and hold a section, then drag it up or down. Subsections reorder the same way. The new order is the order the client sees in the report.

## Hidden sections

Sections can be hidden in a template or on the dashboard when they don't apply, for example **Fireplace** in a house without one. Hidden sections don't show in the list or in the client's report, and the completion ring leaves them out.

When a report has hidden sections, a yellow **Hidden (1)** button shows at the bottom of the Sections screen. Tap it to see them:

![The Hidden Sections window: 1 Hidden Section, Select items below to make them visible again, a Select all button, a row Fireplace with 5 subsection(s) and a checkbox, and Make Visible and Cancel buttons](https://mintcdn.com/hiveinspect-43c85ed1/t9Q1_TNVwS8aDUOV/images/how-tos/mobile-editor-hidden.png?fit=max\&auto=format\&n=t9Q1_TNVwS8aDUOV\&q=85\&s=e03ab4915492233491c5f515105f1515)

To show one again, tick it and tap **Make Visible**. You can only un-hide in the app. To hide a section, use the report editor on the dashboard.

## The Sync button

Everything you do in the report is saved on your phone straight away. The **Sync** button sends it to Hive.

| Button | Meaning |
| - | - |
| **Synced** (green) | Everything on the phone is on Hive. |
| **Sync** (blue) | You have changes, photos or videos that aren't on Hive yet. Tap to send them. |
| **Syncing...** | It's sending. Keep the app open. |

With **Auto Sync** on (the default), the app also syncs on its own about every minute while a report is open. See [Syncing and offline use](https://docs.hiveinspect.com/how-tos/syncing-and-offline.md) for what each sync message means and what to do when a sync fails.

### Leaving with unsynced changes

When you leave the report with changes that haven't synced, the app saves them on the phone and tells you: "Your unsynced changes have been saved locally and will be available when you return to this inspection." Tap **Stay Here** to stay in the report (then tap **Sync** on the Sections screen), or **OK** to leave. They sync the next time you open the report, or with Auto Sync.

## Re-inspection reports

On a re-inspection report:

* **Add Section** and **Add Subsection** don't show.
* Each subsection has a purple **Reinspection** card with the items carried over from the original report, and its footer reads **Add Item**.
* **Smart Add** isn't available.

## Common questions

> **Why is a section still grey after I opened it?**
>
> Grey means none of its subsections are visited yet. Open each subsection and answer every multiple-choice and text question in its **Information** group.

> **Why does the number next to a section say 2/7?**
>
> The section has seven subsections and two are visited. Finish the other five and the number goes away.

> **I deleted a section by mistake**
>
> Tap **Restore** at the bottom of the Sections screen and restore it. Everything that was in it comes back.

> **Does adding a section change my template?**
>
> No. Sections you add, rename, copy or delete in a report only change that report. Change the template on the dashboard.

> **Why can't I hide a section on my phone?**
>
> The app can only show hidden sections again. Hide sections in the report editor on the dashboard, or in the template.

> **Can I change the IN, NI, NP and D buttons?**
>
> Yes, in the template's settings on the dashboard. You can also turn ratings off for a template. See [Disabling ratings](https://docs.hiveinspect.com/how-tos/disabling-ratings.md).
