# Schedule an Inspection or Send a Quote: Which to Use

> The difference between Schedule now and Send a quote in Hive Inspect, the minimum information each one needs, and what happens after you save.

<p className="hive-locator">In the dashboard: <strong>New Inspection</strong>, then choose <strong>Schedule now</strong> or <strong>Send a quote</strong>. In the mobile app: the <strong>Schedule</strong> tab.</p>

When you create an inspection, Hive asks how it will be booked:

* **Schedule now:** you pick the date and time, and the inspection is booked as soon as you click **Confirm Inspection**.
* **Send a quote:** the client gets a link to review the price, add or remove add-ons, accept and pick a time from your availability. You confirm the time they pick.

Use **Schedule now** when the client has already agreed to a time with you, for example on the phone. Use **Send a quote** when the client still needs to see the price, or when you'd rather they choose a time themselves.

## Schedule now or Send a quote?

| | Schedule now | Send a quote |
| - | - | - |
| Who picks the date and time | You | The client, from your open times |
| Button that finishes it | **Confirm Inspection** | **Send for Review** |
| Status after you click it | **Confirmed** | **Review** |
| What the client gets straight away | Your booking confirmation messages | Your quote message, with a link to the quote |
| Booked on your calendar | Yes, straight away | Only once you confirm the time the client picked |
| Client can add or remove add-ons before it's booked | No | Yes, for add-ons with **Allow Upselling** on |
| Messages you need to set up | **Inspection Scheduled** automations | **Send Inspection Quote** automations |

Both choices create the same kind of inspection. Only the way it gets booked is different, and you can switch while it isn't confirmed yet.

## The minimum you need for each

Hive checks a few things when you click a button. Everything else can be added later.

| | Save as Draft | Schedule now: Confirm Inspection | Send a quote: Send for Review |
| - | - | - | - |
| **Property address** | Required | Required | Required |
| **At least one service** | Required | Required | Required |
| **Date and time** | Not needed | Required | Not needed. The client picks it. |
| **Client with an email** | Not needed | Needed for confirmation emails to reach them | Needed for the quote email to reach them |
| **Inspector** | Not needed | Needed for a Google Calendar event | Not needed. The client can choose one, or **Any Available Inspector**. |
| **Agreements, templates, notes** | Not needed | Not needed | Not needed |

What Hive tells you when something is missing:

* **No address:** "Property address is required".
* **No service:** "Please select at least one service before saving".
* **No date with Schedule now:** the button stays grey until you pick a time. On a saved draft it reads **Select Date & Time First**.
* **A contact without a valid email:** "Contact "\[name]" requires a valid email address. Please provide an email or remove the contact." Every client or agent you add needs an email, even though a client isn't required.
* **No reports left on your plan:** "Subscription Limit Reached" when you create a new inspection.

<Warning>
  Hive lets you save or send without a client, but then no email can go out. A quote with no client email reaches no one until you share the link yourself. See [Share the quote link yourself](/how-tos/send-a-quote#share-the-quote-link-yourself).
</Warning>

## Choose on the order page

  <Step title="Click the button">
    The same buttons are at the top and the bottom of the page.

    * **Confirm Inspection** (Schedule now) books it. The status is **Confirmed**.
    * **Send for Review** (Send a quote) sends the quote. The status is **Review**.
    * **Save as Draft** saves it without booking or sending anything. The status is **Draft**.
  </Step>
</Steps>

In the mobile app, the **Schedule** tab opens this same page, with the same choices and buttons.

## What happens after you click

### Confirm Inspection (Schedule now)

* The inspection is **Confirmed**, gets its invoice and order ID, and goes on each assigned inspector's Google Calendar.
* Your **Inspection Scheduled** automations send, such as the client's booking confirmation, and reminders are set for the inspection date.
* It shows in the mobile app and in the inspector's 5 PM schedule email the day before.

### Send for Review (Send a quote)

* The inspection is **Review**. It isn't on Google Calendar and doesn't block the time.
* Your **Send Inspection Quote** automations send the client a link to the quote. With no quote automation, nothing is sent.
* The client accepts, picks a time, and the inspection becomes **Waiting** until you confirm it.

The full flow, including what the client sees, is in [Send a quote](/how-tos/send-a-quote).

### Save as Draft

* Nothing is sent and nothing is booked. The client's link shows "Inspection Not Available Yet".
* Open the draft later from **Inspections** (use **Show all Drafts**) and click **Confirm Inspection** or **Send for Review** at the top of its page.

## Send a quote that already has a date

Sometimes you've agreed on a time but want the client to see the price and accept before you book. You can send a quote with your date already in it:

1. Choose **Schedule now** and pick the date and time.
2. Click **Save as Draft**, not **Confirm Inspection**.
3. On the draft's page, click **Send for Review**.

The client sees the same quote page. When they click **Accept and Pick a Date**, the inspection is **Confirmed** straight away for your date, with no time to pick and nothing for you to approve. It goes on the assigned inspector's Google Calendar, and your booking confirmation messages send.

<Note>
  The client's quote page doesn't show the date. Put `{{{inspection_date}}}` and `{{{inspection_time}}}` in your quote email so they know which time they're accepting. On a quote without a date, `{{{inspection_date}}}` reads "To be scheduled".
</Note>

## Switch between them

While an inspection isn't confirmed, open it and click the other choice:

* **Draft to quote:** click **Send a quote**, then **Send for Review** at the top.
* **Quote back to Schedule now:** click **Schedule now**. Hive shows "Inspection moved to draft status. You can now schedule and confirm the inspection." The client's link stops showing the quote. Pick a time and click **Confirm Inspection**.

Once an inspection is **Confirmed**, the choice disappears. Change the date with **Date & time** instead. See [Reschedule an inspection](/how-tos/rescheduled-inspections).

## Common questions

**Do I need a quote to book an inspection?** No. Most inspectors book with **Schedule now**. Quotes are optional.

**Does the client have to accept before I can confirm?** No. If the client agrees a time on the phone, open the quote, click **Schedule now**, pick the time and click **Confirm Inspection**.

**Can I send a quote without a client email?** Yes, but no email goes out. Copy the link from the green **Inspection sent for review!** box on the inspection's page and send it yourself.

**Does a quote block my calendar?** No. A quote in **Review** never blocks time. A time the client picks blocks it only once you confirm, unless **Create calendar event for waiting status inspections** is on in **Org Settings → Scheduling**.

**Can I quote from my phone?** Yes. Use the **Schedule** tab in the mobile app, choose **Send a quote** and tap **Send for Review**. A draft also has a **Send to Client** button on its summary screen.

**Does a quote expire?** No. There's no expiry date. To withdraw a quote, see [Change or withdraw a quote](/how-tos/send-a-quote#change-or-withdraw-a-quote).
