# Split an Inspection Payment With an Agent or Other Contact

> Split the inspection fee in Hive Inspect with Add Invoice: bill an agent, seller or relative for a share, what they see, balances, report lock and canceling.

In the dashboard: open a **Confirmed** inspection, then **Fees and Payments → Add Invoice (split payment with another contact)**

A split payment bills someone other than your client for part of the inspection fee. That might be the buyer's agent, the listing agent, the seller, an employer or a relative. Hive calls this **Multi-Party Payments**.

You choose the person and the amount. Their share comes off your client's balance. Hive emails them a payment request with their own link. Each person pays their own part, and the inspection is **Paid** once everyone has paid.

> [!NOTE]
>
> Split payments are only on the web dashboard. The mobile app can't create or manage them.

## When to use it

| You want to… | Use |
| - | - |
| Have the agent or another contact pay **part** of the fee | **Add Invoice (split payment with another contact)**, this page |
| Have the agent pay the **whole** fee | **Add Invoice** for the full balance. Or copy the regular payment link from **Record Payment** and send it to them. |
| Ask **your client** for money they still owe, for example after you added a service | **Request balance from customer**. See [Ask the client for the balance](https://docs.hiveinspect.com/how-tos/fees-and-payments.md#ask-the-client-for-the-balance). |
| Record money the agent already gave you, such as a check | **Record Payment** or **Record Additional Payment**. See [Record a payment](https://docs.hiveinspect.com/how-tos/fees-and-payments.md#record-a-payment-you-received). |
| Let your client pay at closing | [Pay at Close](https://docs.hiveinspect.com/how-tos/pay-at-close.md). It isn't available for a share. |

> [!WARNING]
>
> Don't use **Add Invoice** to bill your client. It lowers the client's own balance, so their payment link would show less than they owe, or nothing due. The dialog reminds you of this. Use **Request balance from customer** for the client.

## Before you start

* **The inspection is Confirmed** and money is still owed. The **Add Invoice** button shows only while the payment status is **Pending** or **Partial** and there's a balance due.
* **The person is on the inspection.** Add them as the buyer's agent, listing agent or another contact role first. Clients can't be picked: anyone added as the client or buyer is left out of the list.
* **They have a real email address.** Contacts with no email, or a placeholder email, show in the list but can't be selected.
* **Stripe is connected**, so they can pay online by card, bank transfer or Affirm. See [Set up payments and Stripe](https://docs.hiveinspect.com/how-tos/payment-settings.md).

## Bill a contact for part of the fee

### 1. Open the inspection

On the **Inspections** page, click the confirmed inspection. The **Fees and Payments** card is below **Quick Actions**.

### 2. Click Add Invoice (split payment with another contact)

It's under **Request balance from customer**.

![The Inspection Order Page of a confirmed inspection at 1420 Maple Avenue, Springfield. Under Quick Actions is the Fees and Payments card with Order #1042, Service Total 706.56 dollars, Service Paid 0 dollars and Service Due 706.56 dollars, and the buttons Show Invoice INV-2026-001042, a refresh button, Record Payment, Request balance from customer and Add Invoice (split payment with another contact)](https://mintcdn.com/hiveinspect-43c85ed1/cowjf8jtMG2K6VCj/images/how-tos/fees-payments-location.png?fit=max\&auto=format\&n=cowjf8jtMG2K6VCj\&q=85\&s=20f679e5be98f9fea3a1251236b06f35)

### 3. Choose who to bill

In **Send invoice to**, pick the contact. Each one shows with their role and email, for example "Morgan Lee, Buyer Agent ([morgan.lee@example.com](mailto:morgan.lee@example.com))".

If the list says "No other contacts on this inspection to invoice. Add an agent or sub-contractor first.", add the person to the inspection and try again.

### 4. Enter their share

Type the amount in **Amount to bill this contact**. It can't be more than the **Remaining Balance** shown at the top. The note under the box says "The primary customer's balance drops by this amount."

Enter the share **before** any card fee. If they pay by card and you pass the 4% Technology Fee on, the fee is added on their payment page.

![The Add Invoice dialog: Bill a different contact (agent, seller, employer) for part of this inspection. Their share moves off the customer's invoice and is paid through a separate link. ### 5. Click Preview Email

Check the email before it goes out. The preview shows who it's to, the subject and the message.

### 6. Click Send Now

The email goes out right away, and an **Invoice sent** message confirms it. The person now shows under **Invoiced Parties** on the card.

If the email can't be sent, Hive doesn't create the share, and the client's balance stays the same. Try again.

You can bill more than one person, or bill the same person twice. Together, the shares can't be more than what the client still owes.

## The payment request email

| Part | What it says |
| - | - |
| **From** | Your company name. Replies go to your business email. |
| **To** | The contact's email. Any CC emails saved on the contact are copied. |
| **Subject** | "Payment request for \[property address]" |
| **Message** | "Hi \[first name], A payment has been requested from you for \[client name]'s inspection on \[date] at \[time]. You can pay your invoice here. Let me know if you have any questions! Thank you" |
| **Link** | Their own payment link, for their share only |

The email doesn't state the amount. They see it when they open the link. If you want to explain the split, add a note in a separate email or text.

The email is logged in the inspection's [automation history](https://docs.hiveinspect.com/how-tos/automation-history.md) as **Payment Request**, so you can see when it went out.

## What the agent sees and how they pay

The link opens the same payment page your client uses, but only for their share. They see the amount due and the ways you accept payment:

* **Pay by Card**. When you pass the 4% Technology Fee on, it's added to their share, as for any card payment. See [Technology Fee](https://docs.hiveinspect.com/how-tos/technology-fee.md).
* **Bank Transfer** (ACH). Their share shows as **Processing** until the transfer clears.
* **Buy Now, Pay Later** with Affirm, when their share is between \$35 and \$30,000.
* **Pay Another Way**, showing your payment instructions, if you turned it on.

Pay at Close is for the client's own balance. It isn't available for a share.

After paying, they see "Thank you, \[first name]! Your payment of \$X toward the inspection at \[address] has been received." They don't get a client portal. Hive doesn't email them a receipt, but Stripe can send its own card receipts if you turned them on in your Stripe Dashboard.

If they open the link later:

| The share is… | They see |
| - | - |
| Already paid | **Already Paid**: "This invoice has already been paid in full. Thank you!" |
| Canceled | "This invoice has been canceled. Please contact your inspector." |
| On a deleted inspection | "Inspection no longer available" |

## Track and manage shares

After you send a share, the card changes:

![The Fees and Payments card after billing Morgan Lee 200 dollars: Service Paid 300.00 dollars, Due from customer 206.56 dollars with plus 200.00 dollars pending from Morgan Lee, and an Invoiced Parties list with Morgan Lee, 200.00 dollars, a Pending badge and three buttons: copy link, resend and cancel. At the bottom: Partial Payment - 406.56 dollars remaining (includes 200.00 dollars invoiced to Morgan Lee)](https://mintcdn.com/hiveinspect-43c85ed1/cowjf8jtMG2K6VCj/images/how-tos/fees-payments-split-card.png?fit=max\&auto=format\&n=cowjf8jtMG2K6VCj\&q=85\&s=2b1bd9c511241307eccbf6fe6aa4acef)

* **Service Due** becomes **Due from customer**: the client's part only. Under it, "+ \$X pending from \[name]" shows each unpaid share.
* **Invoiced Parties** lists every share with its amount and status:
  * **Pending**: not paid yet.
  * **Processing**: paid by bank transfer, waiting to clear.
  * **Paid**: done.
* The **Partial Payment** banner shows the total still owed by everyone, for example "Partial Payment - \$406.56 remaining (includes \$200.00 invoiced to Morgan Lee)".

Each unpaid share has three buttons:

| Button | What it does |
| - | - |
| **Copy payment link** | Copies their link, to text or email yourself. |
| **Resend email** | Sends the payment request email again. |
| **Cancel invoice** | Cancels the share right away, with no confirmation. The amount goes back on the client's balance, and the message says "The remaining balance has been restored." The share disappears from the list, and its link shows as canceled. |

A paid share has no buttons. You can't cancel or resend it.

## How the balances work

Here's an example. The inspection costs \$706.56. The client paid a \$300 deposit, and you bill the buyer's agent \$200.

| | Client | Agent | Inspection |
| - | - | - | - |
| After you bill the agent | Owes \$206.56 | Owes \$200.00 | **Partial**, \$406.56 left |
| The agent pays | Owes \$206.56 | **Paid** | **Partial**, \$206.56 left |
| The client pays the rest | **Paid** | **Paid** | **Paid** |

What to expect:

* **Your client's link asks only for the client's part.** That's \$206.56 here. **Request balance from customer** also asks for that amount.
* **The status stays Pending** until someone pays something. It's **Partial** while anyone still owes money, and **Paid** once everyone has paid.
* **Payment Received automations run** when the whole inspection becomes **Paid**, whoever pays last.
* **The report stays locked** for the client until every share is paid and the agreements are signed. To release it sooner, use **Manual Lock Override for Reports** in **Quick Actions**. See [When clients can see the report](https://docs.hiveinspect.com/how-tos/payment-settings.md#when-clients-can-see-the-report).
* **The invoice** is rebuilt when a share is paid. It lists the payment as "Paid by" with the person's name. The client sees this invoice in their portal.

### If the price changes after you split

A share keeps its amount. Any price change goes on the client's balance. For example, if you add a \$175 radon test, the client owes \$175 more, and the agent still owes \$200.

To change a share, cancel it and send a new one with the right amount.

## If the agent pays another way

If the agent pays you by check, cash or any way outside their link:

1. Click **Cancel invoice** on their share. This puts the amount back on the client's balance.
2. Click **Record Additional Payment** (or **Record Payment**) and record what they gave you. Add a note, such as "Check #2041 from Morgan Lee, buyer's agent", in **Internal Notes**.

Don't leave the share open after recording the check, or the agent's amount would count twice. Don't cancel a share that's **Processing**. Their bank transfer is already on its way.

## Refunding a share

**Refund Payment** on the card only refunds the client's own payments. It can't refund a share. To refund an agent's payment, find it in your Stripe Dashboard and refund it there. Hive's records for the share don't change, so ask us in the chat bubble in your dashboard to update them. See [Refund an inspection](https://docs.hiveinspect.com/how-tos/refund-inspection.md#shares-paid-by-an-agent-or-other-contact).

## Who can split a payment

Anyone on your team who can open the inspection can add, resend and cancel shares.

On the mobile app, you can't manage shares. Also, after someone else has paid part of the bill, the app won't edit the payment. Use the web dashboard for both.

## Common questions

**Can two clients split the fee?** Not with **Add Invoice**, because clients can't be picked. Add the second person to the inspection under another role, such as an additional contact, and bill them their half. Or collect from both yourself and record each payment with **Record Payment**.

**Can the agent pay the whole fee?** Yes. Use **Add Invoice** for the full remaining balance. Your client then has nothing to pay.

**Can I bill an agent before the client pays anything?** Yes. A share can be any amount up to the remaining balance.

**Why can't I see Add Invoice?** The inspection isn't **Confirmed**, or nothing is owed.

**Why is the contact greyed out?** They have no email, or only a placeholder one. Add their real email to the contact.

**The agent says they didn't get the email.** Check the inspection's automation history for the **Payment Request**. Click **Resend email**, or copy the link and text it to them.

**Does the agent see the full invoice?** No. Their payment page shows only their share. The full invoice, with their payment listed, is in your client's portal.

**Why does the inspection still show Partial after the client paid?** A share is still unpaid. Check **Invoiced Parties**.
