# Team Settings: Invite, Permissions and Deactivate in Hive

> Manage your team in Hive Inspect's Teams page: roles, seats, invitations, what each permission does, deactivating and reactivating, and team availability.

In the dashboard: **Teams** (sidebar)

The **Teams** page, titled **Hive Teams**, is where you add people to your company and decide what each of them can do. Everyone on your team signs in with their own email and password.

![The Hive Teams page: Manage your team members and their permissions, with Pay-splits, View Invitations and Invite User buttons. ## Who can open Teams

The owner, and anyone with the **Manage Team** permission. Everyone else sees **Access Denied**: *You don't have permissions to manage team members. Contact your organization owner for access.*

## Roles and seats

Each person has one role. You pick it when you invite them.

| Role | Who it's for | Seat | What they can do |
| - | - | - | - |
| **Owner** (shown as **Inspector** with an **Owner** badge) | The person who created the company account | Included in your plan | Everything. Their row shows **Full Access**, and their permissions can't be changed. |
| **Sub-Inspector** | Inspectors who work for you, including trainees | Needs a paid inspector seat | Can be assigned to inspections, booked on your online scheduler and paid through pay splits. What else they can do depends on their [permissions](#what-each-permission-does). |
| **Support Staff** | Office managers, schedulers, bookkeepers | Free, no seat | Can't be assigned as the inspector on a job or be booked online. Inspections they create go to your [default inspector](/settings/profile-settings#default-inspector). What they can see depends on their permissions. |

* **A role can't be changed later.** To change someone from support staff to sub-inspector, ask our team in the chat bubble.
* **Seats** are added under **Business Tools → Subscriptions → Team Management → Add Inspector**. You need the **Monthly** or **Annual** plan. See [Seats and billing](/business-tools/team-permissions#seats-and-billing).
* **Ownership** can't be moved to someone else from the dashboard. If your company changes hands, ask our team in the chat bubble.

## What each row shows

| Item | What it means |
| - | - |
| Photo or colored circle | The person's profile photo, or their first initial in their team color. The same color marks them on the calendar and in inspector filters. Hive picks it when they join. |
| **Owner** | The account owner. |
| Role badge | **Inspector** (the owner), **Sub Inspector** or **Support Staff**. |
| **Calendar Linked** / **No Calendar** | Whether they've connected their own Google Calendar. With the Google Calendar engine, someone with **No Calendar** looks free all day. See [Calendar Engine](/settings/organization-settings#calendar-engine). |
| **Full Access** or **4/11 Permissions granted** | How many of the 11 permissions are on. |
| **View** / **Manage** | Opens their permissions. It's **View** for the owner, whose permissions can't change. |
| Red person button | Deactivates them. Shown for sub-inspectors and support staff only. |

## Invite a team member

### 1. Add a seat first, for an inspector

For a sub-inspector, add a seat under **Business Tools → Subscriptions → Team Management → Add Inspector**. Support staff don't need one.

### 2. Click Invite User

On the **Teams** page, click **Invite User**.

![The Invite Team Member window: Send an invitation to add a new member to your organization. Email Address box with the note They will receive an email with a link to join your organization. A Role list set to Sub-Inspector, Can create and manage inspections. Cancel and Send Invitation buttons](https://mintcdn.com/hiveinspect-43c85ed1/H26rdjjwO1Jrk233/images/settings/teams-invite-user.png?fit=max\&auto=format\&n=H26rdjjwO1Jrk233\&q=85\&s=2fcdbfad588941d3e996b1835911dc5a)

### 3. Enter their email and pick a role

Type their **Email Address**, choose **Sub-Inspector** or **Support Staff** under **Role**, and click **Send Invitation**. You see **Invitation Sent**.

### 4. They accept

They get an email, **You're invited to join \[your company] on HiveInspect**. They click the link, enter their name, choose a password and agree to the terms. Then they sign in on the web dashboard or the mobile app.

### 5. Set their permissions

Once they've joined, they show on the **Teams** page. Click **Manage** to choose what they can do. See [Set permissions](#set-permissions).

Good to know:

* **The invitation link works for 7 days.**
* **Seats are checked when they accept,** not when you send. If you have no free inspector seat, the sub-inspector sees that your company has reached its maximum number of inspectors and can't join until you add a seat.
* **One email, one company.** If the email already has its own Hive account, you see *This user already belongs to another organization.* Invite them with a different email, or ask our team in the chat bubble. See [My invite says the person already belongs to another organization](/faq/account-and-team#invite-already-in-another-organization).
* **Someone who left your team** can't be invited again. You see a message asking you to reactivate them from **Teams → Deactivated**. See [Reactivate someone](#reactivate-someone).
* **An invitation is already waiting:** if you invite the same email twice, Hive asks you to resend the first one instead.

### View, resend or revoke invitations

Click **View Invitations** to see every invitation you've sent.

![The Team Invitations window: View and manage all pending and past invitations. A table with Email, Role, Status, Sent At, Expires At and Actions. taylor@riverahomeinspections.com, Sub Inspector, Pending, with resend and revoke buttons; office@riverahomeinspections.com, Support Staff, Accepted; chris@example.com, Sub Inspector, Expired](https://mintcdn.com/hiveinspect-43c85ed1/H26rdjjwO1Jrk233/images/settings/teams-invitations.png?fit=max\&auto=format\&n=H26rdjjwO1Jrk233\&q=85\&s=361e8cff1569262a42b733d0b6ed4cd8)

* **Status:** **Pending** (not accepted yet), **Accepted**, **Expired** or **Revoked**. **Expiring soon** shows under the date when less than a day is left.
* **Resend** (circular arrow): sends the same email again. If the link has expired, it gets another 7 days. Use this when someone can't find the email; ask them to check their spam folder too.
* **Revoke** (circle with a line): cancels the invitation so the link stops working. Only the person who sent an invitation can revoke it.

## Set permissions

### 1. Open Manage Permissions

Click **Manage** next to the person.

### 2. Turn permissions on or off

Flip the switches. **Select All** turns them all on, and **Clear All** turns them all off.

### 3. Save

Click **Save Changes**. You see **Permissions updated successfully**.

![The Manage Permissions window for Jordan Lee with Select All, Clear All and Save Changes buttons, and one switch for each permission: Schedule Management, Edit Inspections, Delete Inspections, Publish Reports, Edit Templates, Manage Contacts, Financial Data Access, Business Tools, Business Metrics, Manage Subscriptions and Manage Team](https://mintcdn.com/hiveinspect-43c85ed1/H26rdjjwO1Jrk233/images/settings/teams-manage-permissions.png?fit=max\&auto=format\&n=H26rdjjwO1Jrk233\&q=85\&s=69bd54caac2d533565c1f521c7485548)

A new team member starts with every permission off except **Business Tools**.

### What each permission does

| Permission | What it does in Hive today |
| - | - |
| **Schedule Management** | See and manage the whole team's schedule: every inspection, everyone's calendar and everyone's availability, including [Team availability](#team-availability). **Without it, a person only sees the inspections they're assigned to.** Support staff can't be assigned, so turn this on for office staff who book inspections. It's also the one permission the mobile app checks, for the team calendar. |
| **Edit Inspections** | Saved for the person, but not checked by Hive yet. Who can open and change an inspection depends on **Schedule Management** and whether they're assigned to it. |
| **Delete Inspections** | Saved for the person, but not checked by Hive yet. Same as **Edit Inspections**. |
| **Publish Reports** | Saved for the person, but not checked by Hive yet. Turning it off doesn't stop them publishing. |
| **Edit Templates** | Open the **Templates** page in the dashboard to change templates. |
| **Manage Contacts** | Saved for the person, but not checked by Hive yet. |
| **Financial Data Access** | Refund payments, change the credit card fee on an inspection, and change the QuickBooks and InterNACHI settings. |
| **Business Tools** | Open **Business Tools** and its tools, the company cards in [Profile Settings](/settings/profile-settings#company-information), and the Business Tools shortcuts in Org Settings. On for new team members. |
| **Business Metrics** | Open [Metrics](/how-tos/metrics), [Earnings](/how-tos/earnings), the [Mileage Tracker](/how-tos/mileage-tracker) and the [Hourly Time Tracker](/how-tos/hourly-time-tracker). |
| **Manage Subscriptions** | Open **Business Tools → Subscriptions** to change your plan, card and seats, and open the payment settings. |
| **Manage Team** | Open the **Teams** page: invite people, change permissions, deactivate and reactivate, and open pay splits. |

The owner can always do everything.

> [!NOTE]
>
> **Org Settings isn't limited by permissions.** Anyone on your team who signs in can open [Org Settings](/settings/organization-settings) and change it.

### Common setups

| Person | Turn on |
| - | - |
| Office manager who books for everyone | **Schedule Management**, **Business Tools**, and **Financial Data Access** if they handle refunds |
| Bookkeeper | **Business Metrics**, **Financial Data Access**, **Manage Subscriptions** |
| Experienced sub-inspector | **Schedule Management** if they should see the whole team's calendar; otherwise leave it off so they only see their own jobs |
| Trainee | Nothing extra. Turn off **Business Tools** if they shouldn't change your company details. |

## Deactivate someone who leaves

Deactivating removes a person from your active team but keeps their history. You can deactivate sub-inspectors and support staff. The owner can't be deactivated.

### 1. Ask them to sync

If they use the mobile app, ask them to sync any unsynced work first.

### 2. Click the red person button

On the **Teams** page, click the red button at the end of their row. Hive checks their inspections.

![The Deactivate Team Member window: You are about to deactivate Jordan Lee (Sub Inspector). 6 open inspections will move to: a list set to Alex Rivera. 41 completed inspections stay credited to Jordan Lee. Pay records, emails and activity logs are kept. They will no longer be able to sign in, and their email is freed up. Notes: Billing is not changed here, their paid inspector seat becomes unfilled; and Ask them to sync any unsynced work in the mobile app before you continue. A Reason (optional) box, and Cancel and Continue buttons](https://mintcdn.com/hiveinspect-43c85ed1/H26rdjjwO1Jrk233/images/settings/teams-deactivate.png?fit=max\&auto=format\&n=H26rdjjwO1Jrk233\&q=85\&s=e351e96cdf6eed8284ee0b54206097c8)

### 3. Choose who gets their open inspections

Pick the inspector their open inspections move to. You can add a **Reason**, such as **Left the company**. Click **Continue**.

### 4. Confirm

Click **Deactivate**. You see that they were deactivated and how many inspections moved.

What happens:

| | |
| - | - |
| **Open inspections** (not published yet and not canceled) | Move to the inspector you picked, with their inspection events. Their Google Calendar events move too. |
| **Published and canceled inspections** | Stay credited to them, so your history and metrics stay correct. |
| **Pay** | Approved and paid pay records are kept. Pending pay on the inspections that moved is removed, and pay is worked out again for the new inspector. |
| **Signing in** | They're signed out of the web dashboard and the mobile app straight away, with *Your account has been deactivated by your organization.* They can't sign in again. |
| **Their email** | Freed up, so it can be used for a new Hive account. |
| **Scheduled emails and texts** to them | Cancelled. Their future time off in Hive is removed. |
| **Default inspector** | Cleared if it was them. Pick a new one in [Profile Settings](/settings/profile-settings#default-inspector). |
| **Billing** | Not changed. A sub-inspector's seat becomes unfilled and is still billed. |

**To stop paying for the seat,** go to **Business Tools → Subscriptions → Team Management**, click **Remove Inspector** and remove the unfilled seat. Seats aren't refunded for the part of the billing period already paid.

**Remove Inspector** on the Subscriptions page can also deactivate a sub-inspector and remove their seat in one step.

### Reactivate someone

Deactivated people are listed under **Deactivated** on the **Teams** page, with the date, who deactivated them and the reason. Click the heading to open the list.

### 1. Free a seat, for an inspector

A sub-inspector needs a free inspector seat. Add one under **Business Tools → Subscriptions** first if you have none.

### 2. Click Reactivate

Click **Reactivate** next to the person. Their old email is filled in. Change it if they should sign in with a different email.

![The Reactivate Casey Morgan window: Casey Morgan (Sub Inspector) will rejoin your active team and can sign in again with this email. An Email Address box filled with casey.morgan@example.com and the note Change this if they should sign in with a different email address. ### 3. Confirm

Click **Reactivate**. They can sign in again with that email.

* **No free seat:** you see *No inspector seat is available. Add a seat under Business Tools → Subscriptions, then reactivate.*
* **Email taken:** if someone else now has a Hive account with that email, you see *That email now belongs to another Hive account.* Enter a different email.
* **Inspections don't move back.** Open inspections that were moved to someone else stay with that person. Change the inspector on each one if needed.

There's no way to delete a team member permanently. Deactivating keeps your records complete.

## Team availability

The **Team Settings** button at the top of [Profile Settings](/settings/profile-settings) opens a page also called **Team Settings**. There you can edit the profile and schedule of every inspector on your team. You need to be the owner or have **Schedule Management**.

![The Team Settings page: Manage profile details, business hours, and weekly availability for your team members. Team Members (2): Alex Rivera, Inspector, and Jordan Lee, Sub-Inspector, expanded to show Personal Information with Full Name, Email (greyed out), Phone Number, License Number, TX WDI License Number, Credentials, Service Area, Introduction Video URL and Bio](https://mintcdn.com/hiveinspect-43c85ed1/H26rdjjwO1Jrk233/images/settings/team-settings-availability.png?fit=max\&auto=format\&n=H26rdjjwO1Jrk233\&q=85\&s=2f01a643b2125979bca4e124a55a1f71)

Click a person to open them. You can change:

* **Personal Information:** Full Name, Phone Number, License Number, TX WDI License Number, Credentials, Service Area, Introduction Video URL, Bio, Services Offered, Profile Photo and Signature. Their email can't be changed here.
* **General Business Hours**, **Weekly Availability Schedule** and **Inspector Local Address** with **Maximum Travel Distance**, the same as in [Profile Settings](/settings/profile-settings#weekly-availability-schedule).

Click **Save All for \[first name]** at the bottom of each person. An **Unsaved Changes** badge shows on anyone you haven't saved. The profile photo and signature save as soon as they upload.

The owner and sub-inspectors are listed. Support staff aren't, because they can't be booked. Team members without **Schedule Management** see **Availability Settings** with a **View Only** note instead.

## Pay-splits

**Pay-splits** at the top of the **Teams** page opens the page where you set how each inspection's pay is split across your team. See [Sep 27, 2026 updates](/whats-new/sep-27-2026).
