Services and add-ons

Each inspection has one main service. Everything else is added as an add-on of that main service. Hive works this way because templates, agreements and automations are tied to the main service.
  1. Go to Business Tools → Services & Fees and click Edit on the main service.
  2. Under Service Add-Ons, click Add Add-On. To reuse add-ons you already built on another service, click Add from Another Service.
  3. Save your changes. The add-ons now appear when you or your client pick that main service.
Add-ons only show for the main service they belong to. If a service or add-on is missing from your online scheduler, check that it isn’t hidden (Hidden on scheduler on a service, Hide from Scheduler on an add-on).To sell something both on its own and as an add-on, such as radon, create it as a main service and also add it as an add-on on each main service it goes with. For a one-off extra on a single job, use Edit Price or Duration on the inspection instead.See Main services vs add-on services and Add-on services.
Use Edit Price or Duration on the inspection.
  1. Open the inspection and scroll to the pricing summary in the services section.
  2. Click Edit Price or Duration.
  3. Change a price, rename a line or change the total duration. Click Add Item to add a line such as a return-trip or cancellation fee.
The invoice, client portal and payment link update to the new amount, so you don’t need to resend anything. To email the client a payment link for what they still owe, click Request balance from customer under Fees and Payments.Don’t remove and re-add the main service to change a price. Changing the main service resets the inspection’s templates and agreements, and replaces the automations that haven’t been sent yet with the new service’s.Raising your prices in Services & Fees doesn’t change inspections that are already booked. If you change details such as square footage after booking, check the price and update it here if needed.

Pricing modifiers, discounts and taxes

Add a Square Feet modifier to the service. Open Business Tools → Services & Fees, click Edit on the service, then click Add Modifier under Service Modifiers. You can price square footage two ways:
  • Range: one modifier per size band, for example 2,001 to 3,000 sq ft. Ranges don’t add up; each one applies only to its own band.
  • Per 100 sq ft: one modifier that adds a fee and time for every 100 sq ft above the Starting After size.
In a range, both the From and To numbers are included, so start each range one above where the last one ended (0 to 2,000, then 2,001 to 3,000). Hive warns you about gaps and offers Close the gap. A size that no range covers gets no extra charge. A base price is required, but it can be $0.To check your setup, click Test Pricing with Modifiers on the Services & Fees page and try a few sizes. Drag modifiers to change their order.See Price modifiers for every option, with screenshots.
Each modifier adds a fee and time when its condition is met. The price on the inspection and the online scheduler adjusts on its own.
  • Age of House uses the home’s age in years, not the year it was built.
  • Distance can be measured in miles or kilometers, from your company address or from the assigned inspector’s address. Pick Miles from Company Address, Miles from Inspector’s Address, Kilometers from Company Address or Kilometers from Inspector’s Address.
  • Foundation adds a fee for a foundation type, such as crawlspace, that you choose when booking.
  • Anything else, such as number of units, bedrooms, county or ZIP code: create a custom field first in Business Tools → Custom Fields (a Number or Dropdown field works well), then add a modifier on that field. You fill in the value when you book, or the client does on the online scheduler.
Add-ons have their own modifiers. Edit the main service, open the add-on and use Add-On Modifiers. Modifiers on the stand-alone version of a service don’t carry over to its add-on version. To copy a modifier to another service, use its Duplicate button.See Price modifiers and Custom field modifiers.
Create codes in Business Tools → Discount Codes. Each code has a name, the code clients type, a fixed amount or percentage, and a description that shows on the invoice.Under Services, choose what the code discounts:
  • With nothing selected, it discounts the whole subtotal.
  • With selections, it only discounts those services and add-ons. Checking a service covers its base price and modifiers. Add-ons must be checked one by one.
Clients enter the code on your online scheduler, where it only works for the services you selected. When you or your staff schedule an inspection, you can apply any code to it.See Create Discount Codes.
Tax is set on each service. Go to Business Tools → Services & Fees, click Edit on the service, and add a tax under Taxes with a name (for example Sales Tax) and a percentage. Repeat for every service you charge tax on.The tax is added when the service is selected on an inspection, so set it up before you book. If an inspection booked earlier is missing the tax, ask in the chat bubble in your dashboard. For a charge that isn’t a tax, such as an admin fee, create an add-on or add a line with Edit Price or Duration. Card fees are handled separately in Business Tools → Payments.See Sales tax for what the tax is charged on and how it shows to clients.

Creating agreements

Use placeholders. In the agreement editor, put your cursor where the value should go, click Insert Placeholder and pick the field. Hive fills it in from the inspection when the client opens the agreement.Placeholders use three curly braces, for example {{{client_full_name}}}, {{{property_address}}}, {{{inspection_date}}}, {{{inspection_price}}} (the total, including add-ons) and {{{current_date}}} (today’s date, locked in when the client signs). The full list is in Business Tools → Placeholders. A misspelled placeholder, or one with only two braces, shows up blank or as raw text.A few more you can add:
  • One service’s price: click Service Price next to Insert Placeholder and pick the service or add-on.
  • Your logo: insert {{{company_logo}}}, or add the image with the editor’s image button and align it.
  • Client initials: insert {{{customer_initials}}} wherever the client should initial. The client adopts their initials once, then clicks each box as they read.
  • Your own fields, such as the client’s current address: create a custom field in Business Tools → Custom Fields and insert its placeholder.
The editor shows placeholders, not values. To see an agreement filled in, open an inspection and click Quick Actions → Agreements.See Add Custom Fields.
You can’t upload a PDF. Paste your agreement text into the agreement editor instead.
  1. Go to Business Tools → Agreements and click Create New Agreement.
  2. Enter a name and paste your text under Agreement Content. Changes save automatically.
  3. Replace blanks such as the client name or address with placeholders.
  4. Attach the agreement to your services in Business Tools → Services & Fees. It’s then added to every inspection with that service.
If the formatting comes out wrong, paste the text into Word or Google Docs first, clear the formatting there, and copy it in again. You don’t need a signature line. The client’s signature, name, date and IP address are added to the signed copy automatically.Hive doesn’t provide agreement wording. Use the agreement from your insurer or attorney. Inspectors also share agreements in the Hive Facebook group.See Set Up Inspection Agreements.

Getting agreements signed

Your automation emails send it. When an agreement is attached to the inspection, the client signs it in their client portal from the link in your emails.
  1. Attach the agreement to the service, or click Add Agreement on the inspection.
  2. Set up your automations before you book. In Automations, click Browse to import ready-made emails, and make sure your confirmation email includes the agreement link placeholder {{{customer_agreement_link}}} or the client portal link.
  3. The client opens the link, enters their full name, signs and clicks Sign Agreement.
To resend, open the inspection and click Quick Actions → Automations. Click Send Again on the email, or click Compose Email and insert the agreement link placeholder. You can also text the client the portal address, reports.hiveinspect.com, and have them sign in with the email on the inspection. To sign in person, open the inspection in the mobile app, tap Agreements and hand your client the phone or tablet.See Set Up Email and SMS Automations.
Yes. By default the report stays locked until every agreement on the inspection is signed and the inspection is paid. You can still publish; the client sees buttons to sign and pay when they open it.If the client signed on paper or somewhere else, either:
  • Remove the Hive agreement from the inspection with its Remove agreement (X) icon, or
  • Click Quick Actions → Manual Lock Override for Reports and choose Unlock Override to release the report.
You can’t mark a Hive agreement as signed by hand. To print a blank copy for a paper signature, open Quick Actions → Agreements and download the unsigned PDF. Signed copies download from the same place, and Hive keeps them even if you later reset or remove the agreement. If you’d rather not ask for a drawn signature, turn off Require User Signature for Agreements in Org Settings → Business Management. Clients then accept by typing their name.See Manage an Inspection.
If the client hasn’t signed yet, you don’t need to do anything. An unsigned agreement fills in its placeholders when the client opens it, so it shows the latest name, date and price. If the client already signed:
  1. Open the inspection and find the agreement in the services section.
  2. Click its reset icon (Reset agreement to pending) and confirm.
  3. The client is asked to sign the updated version in their portal. The earlier signed copy stays under Quick Actions → Agreements.
Rescheduling doesn’t reset a signed agreement on its own. To change the wording for this one inspection only, click the pen icon on the agreement. If you forgot to attach an agreement, click Add Agreement on the inspection. It shows up in the client portal right away.See Regenerate agreements from the dashboard.
