Custom fields let you capture information that Hive Inspect doesn’t track by default, such as a roof permit number, total square footage, an MLS number, or a lockbox code, on every inspection. Once a field exists you can fill it in while scheduling or on site, and reference it in agreements, emails, and reports with a placeholder so nothing has to be typed twice.

Setting up custom fields for inspections

Open custom fields

In the web dashboard go to Business Tools → Custom Fields and click Add Custom Field.

Name the field

Enter a label such as Roof Permit or Total Sq Footage. The label is what your team sees on the inspection form.

Choose a field type

Pick Text, Number, Dropdown (type each option and press Enter), or Checkbox. Turn on Required answer on online scheduler if clients must fill it in when booking online (it doesn’t gate inspections you create from the dashboard or app).

Save

The field now appears on every new inspection. You can create as many fields as your business needs and reorder them later.

Fill in values during an inspection

Custom fields show up when you schedule an inspection in the web dashboard and on the inspection details screen in the mobile app. Enter the value once; it’s stored with that inspection.

Use custom fields as placeholders

Every custom field gets a placeholder in the form {{{custom_<field_name>}}} (three braces), for example {{{custom_roof_permit}}} or {{{custom_total_sq_footage}}}. Insert it into: When the document is generated, the placeholder is replaced with the value from that inspection. See the Business Setup guide for how placeholders work in general.

Frequently asked questions

Only where you place the placeholder. A field you use purely for internal tracking, like a lockbox code, stays private unless you add it to report text.
Yes. Update the value on the inspection and regenerate the document; the placeholder picks up the new value.
Yes. Custom field placeholders work in calendar event titles and descriptions too, so a lockbox code or permit number can show up right on the inspector’s calendar.
