How report review works

In a multi-inspector company you can decide who is allowed to publish reports. Inspectors without publishing rights submit their finished reports to an admin. The admin reviews the report, edits it if needed, and publishes it. This is useful for trainees, new sub-inspectors, or anyone whose reports you want to check before they reach clients and agents.

Set it up

Open the inspector's permissions

  • Go to Teams in the dashboard.
  • Click Manage next to the inspector.

Turn off Publish Reports

  • Turn off Publish Reports (generate and publish inspection reports to clients).
  • Leave their other permissions as they are.
  • Click Save Changes.

Keep publishing on for your reviewers

  • The admins who review reports keep Publish Reports turned on.

Review and publish a submitted report

The inspector submits the finished report

  • The inspector writes the report as usual, then submits it to an admin instead of publishing it.

The admin reviews and edits

  • The admin opens the report and makes any changes in the Web Editor. See Web Editor.

The admin publishes

  • The admin publishes the report.
  • Publishing sends the report-ready email or text to the client and agent automatically, through your automations. See Automations.
For another quality check, you can block a report from being published until every section is marked as visited. Turn it on under Org Settings → Report Writing → Require completed sections to publish. It is off by default. See Sep 21, 2026 updates.

Anyone with the Publish Reports permission turned on. Turn it off for a team member in Teams → Manage and their finished reports go to an admin instead.
