In the dashboard: open the inspection, then Quick Actions → Automations. From the Inspections list: ⋮ → Automations.

Every inspection has its own Automation History page. It lists each email and text Hive has sent, will send or has stopped for that inspection, one entry per person. Use it to answer “did my client get the confirmation?”, see when an email was opened, find out why a reminder didn’t go out, and send something again. The Automation History page for 1420 Maple Avenue, Springfield, IL 62704. At the top right are Compose Email and Delete All Automations buttons. An Inspection Details card shows Status confirmed, Scheduled For Oct 22, 2026 10:00 AM, Total Automations 12, Sent 5 and Bounced 1. Below it are status filters (Waiting 2, Scheduled 2, Sent 5, Failed 1, Cancelled 2, Bounced 1, Spam 0) and two columns, Email Automations and SMS Automations

Open the Automation History

You can get there two ways. Both open the same page.
  1. Open the inspection from the Inspections page.
  2. In the Quick Actions card near the top, click Automations.
The Quick Actions card with buttons Edit Reports, Preview Reports, Client Review, Automations, Agreements, Portal Activity, Send Reports, Status, Reorder and Publish All, and Manual Lock Override for Reports on a second row
The page is in the web dashboard only. The mobile app doesn’t have it.

What’s on the page

From top to bottom:
  • Compose Email writes a one-off email to anyone on the inspection. See Send an email by hand with Compose Email.
  • Delete All Automations removes every message for this inspection. See Delete all automations.
  • Inspection Details shows the inspection’s status, date and time, how many messages there are, how many were sent and, if any, how many bounced or were marked as spam.
  • Status filters narrow the list (see Filter the list).
  • Email Automations on the left and SMS Automations on the right. Each message is a card.
Within each column, messages are grouped by status in this order: Sent (newest first), Scheduled (soonest first), Waiting, Cancelled, Failed.
An automation appears once per recipient. If an automation goes to the Customer and the inspection has two clients, you see two cards, one for each client. An automation that goes to both the client and the agent shows a card for each of them.

What each status means

Read a message card

A sent email card titled Inspection Confirmation - Client with a Customer badge and a green SENT badge. To: Jordan Taylor, jordan.taylor@example.com, CC: sam.taylor@example.com. Subject: Your inspection at {{{property_address}}} is confirmed. Created Oct 15, 2026 10:01 AM, Scheduled Oct 15, 2026 10:01 AM, Sent Oct 15, 2026 10:02 AM, Opened Oct 15, 2026 06:41 PM (3x). Buttons View Sent and Send Again Each card shows:
  • The automation’s name and a badge with the recipient’s role (Customer, Buyer Agent, Listing Agent, Inspector and so on).
  • To: the person’s name and email address (or mobile number for a text). CC: lists any addresses that were copied. CC skipped lists CC entries left out because they weren’t valid email addresses.
  • Subject (emails) or Message Preview (texts). This is the automation’s wording with its placeholders, for example {{{property_address}}}. Click View Sent or Preview to see it filled in.
  • Created: when Hive added the message to this inspection. Scheduled: when it was due to go out. Sent: when it went out.
  • Opened: when the recipient last opened the email, and how many times (for example (3x)). Not opened yet means no open has been recorded.
Opens are a guide, not proof. Some email apps load emails automatically, which counts as an open even if nobody read it. Others block the tracking, so an email can be read without ever showing Opened. Texts don’t have open tracking.
”✓ Will use latest contact info when sent” on a scheduled message means Hive looks up the contact’s current email and phone just before sending. If you fix a typo in the client’s email on the inspection, scheduled messages go to the corrected address.

Bounced emails

A sent email card to Dana Kim, Listing Agent, dana.kim@example.com, with a red line reading Bounced — invalid address (Oct 15, 2026 10:02 AM)
  • Bounced — invalid address (red): the address doesn’t exist. Correct the contact’s email, then click Send Again.
  • Bounced — temporary issue (amber): the mailbox was full or the server was busy. Try Send Again later.
  • Marked as spam: the recipient reported the email as spam.
Hover over a bounce line to see the receiving server’s message. Hive also emails your company admin when an email bounces.

Scheduled messages

A scheduled email card titled 24-Hour Inspection Reminder to Jordan Taylor with a yellow SCHEDULED badge, the note Will use latest contact info when sent, Subject Reminder: your inspection is tomorrow, Scheduled Oct 21, 2026 10:00 AM, and Preview, Send Now and Cancel buttons The Scheduled time is in your computer’s time zone. If you reschedule the inspection, reminders move to match the new time.

Waiting messages

A waiting email card titled Report Ready - Client with a blue WAITING badge and a box reading Waiting for trigger: Report Published, then Will be scheduled when trigger fires, and Preview, Send Now and Cancel buttons The blue box names the event the message is waiting for, such as Report Published, Rescheduled, Payment Received or Event Scheduled. Once the event happens, the message becomes Scheduled and gets a send time. A message waiting for Event Scheduled sends only when you add an inspection event (such as a radon pickup) to this inspection. If you never add one, it stays waiting and never sends.

Cancelled messages

A cancelled email card titled Agreement Reminder to Jordan Taylor with a grey CANCELLED badge and the line Why it was cancelled: All agreements were signed, so the reminder wasn't needed. Buttons Preview and Send Now Hive cancels messages on its own when they’re no longer needed. The Why it was cancelled line tells you which reason applied. The most common ones:

Texts

Text messages have their own column with the same statuses and buttons. The Message Preview shows the first 150 characters of the automation’s wording. Texts can’t bounce or be marked as spam, and Hive can’t tell whether they were read. The SMS Automations column with three cards: Booking Confirmation Text to Jordan Taylor (555) 014-2201, Sent, with View Sent and Send Again; Day-Before Reminder Text, Scheduled Oct 21, 2026 05:00 PM, with Preview, Send Now and Cancel; and Booking Confirmation Text to Morgan Lee, Failed with Error: No phone number, with Send Again and Cancel

Filter the list

The coloured buttons under Inspection Details turn statuses on and off. Each shows how many messages have that status. All of them except Bounced and Spam are on when the page opens. Status filter buttons: Waiting 2, Scheduled 2, Sent 5, Failed 1 and Cancelled 2 are on; Bounced 1 and Spam 0 are greyed out Bounced and Spam messages are also Sent, so they already show while Sent is on. To see only the bounced emails, turn every other button off and turn Bounced on: Only the Bounced filter is on. The Email Automations column shows one card, Inspection Confirmation - Agent to Dana Kim, with the line Bounced — invalid address, and the SMS Automations column reads No SMS automations match the selected filters If you turn every button off, the columns ask you to select at least one status.

See exactly what was sent: View Sent

Click View Sent on a sent message. The Sent Email Content (or Sent SMS Content) window shows the subject and message exactly as the recipient got them, with the placeholders filled in, plus the recipient, CC, send time and open count. The Sent Email Content window for Inspection Confirmation - Client, Customer. Sent to Jordan Taylor (jordan.taylor@example.com), CC sam.taylor@example.com, Sent Oct 15, 2026 10:02 AM, Opened 3 times, last opened Oct 15, 2026 06:41 PM. Subject: Your inspection at 1420 Maple Avenue, Springfield, IL 62704 is confirmed. The email body greets Jordan, confirms Thursday, October 22, 2026 at 10:00 AM, links to sign the agreement and pay the invoice, and names the inspector This is what to check when a client says a link was wrong or a detail was missing. Very old messages may say Sent content not available.

See what will be sent: Preview

Click Preview on a waiting, scheduled or cancelled message. The Email Preview (or SMS Preview) window fills in the placeholders with the inspection’s current details, so you see the message as it would go out right now. The Email Preview window for 24-Hour Inspection Reminder, Customer, Will be sent to Jordan Taylor (jordan.taylor@example.com). Subject: Reminder: your inspection is tomorrow. The body reminds Jordan that the inspection at 1420 Maple Avenue is tomorrow, Thursday, October 22 at 10:00 AM, and asks for the utilities to be on and the attic, garage and panel to be easy to reach. A note says this is a preview and the actual content may vary slightly based on real-time data If you edit the details first (for example the time or a payment), the preview and the message both use the new details.

Send a message now: Send Now

Send Now is on waiting, scheduled and cancelled messages. It sends a copy straight away:
  • It skips the automation’s filters and send conditions, even if the agreement is already signed or the inspection is already paid, so check the message before you click.
  • It still waits for the automation’s Sleep Hours. During sleep hours Hive tells you the time it will go out.
  • It sends to the contact’s current email or phone.
  • The copy shows up as a new Sent card.
Send Now doesn’t replace the original message. A scheduled or waiting message stays on the list and still goes out at its own time, or when its event happens. If you only want it sent once, click Cancel on the original after you click Send Now.
If the message can’t be sent (for example the contact has no email), Hive tells you why and the copy shows as Failed.

Send a message again: Send Again

Send Again is on sent and failed messages. Use it when:
  • the client says they never got the confirmation or the report email;
  • you fixed a wrong email address or phone number on the contact;
  • a message failed and you’ve fixed the cause.
Send Again sends a new copy to the contact’s current email or phone, with the automation’s current wording. If you edited the automation since the first send, the new copy uses the new wording. The new copy shows as another Sent card. To resend a payment request from Add Invoice or Request balance, use the Fees and Payments card. Those cards are marked Managed in Fees & Payments here. See Fees and payments on an inspection.

Stop a message for this inspection: Cancel

Cancel is on waiting, scheduled and failed messages. The message becomes Cancelled with “Cancelled by a team member.” and won’t send. Other inspections aren’t affected. Use it to stop a single message, for example:
  • the report email to an agent your client doesn’t want to receive the report;
  • the reschedule notice before you change the time, if you want to reschedule quietly;
  • a reminder for a client who already confirmed by phone.
A sent message can’t be cancelled or unsent. A cancelled message can still be sent with Send Now later. To stop an automation for every inspection, turn off its Active switch on the Automations page instead.

Delete all automations for one inspection

Delete All Automations at the top of the page removes every message for this inspection: waiting, scheduled, sent, cancelled and failed. The Delete All Automations confirmation: Every email and text for this inspection will be deleted, including the record of what was already sent. Nothing is sent, and this can't be undone. Hive can still add new messages later, for example if you add a contact or change the services. Buttons Cancel and Delete All Before you click Delete All, know that:
  • Nothing is sent. Waiting and scheduled messages simply stop.
  • The history is deleted too. You can no longer see what was sent or when it was opened, and you can’t bring it back.
  • Other inspections and your automations themselves aren’t touched.
  • Hive can still add new messages to this inspection later, for example when you add a contact to it or change its services.
To stop the messages but keep the record of what was sent, click Cancel on each waiting and scheduled message instead.

Emails you sent with Compose Email

When you send an email from Compose Email with an inspection selected, it’s saved here as Manual Email, one card per To recipient, with its opens and bounces. A sent email card titled Manual Email to Jordan Taylor, jordan.taylor@example.com, Sent Oct 16, 2026 02:20 PM, Opened Oct 16, 2026 03:05 PM, with View Sent and Send Again buttons Send Again on a manual email sends it to that recipient again with the same subject, message and attachments. Placeholders are filled in again with the inspection’s current details. Messages from Send Reports in Quick Actions aren’t listed here.

Common questions

  1. Open the inspection’s Automation History and find the confirmation for that client.
  2. Sent with Opened: it arrived and was opened. Ask them to search their inbox for your company name.
  3. Sent, Not opened yet: it was delivered. Ask them to check their spam or junk folder. See Why are my emails going to spam.
  4. Bounced — invalid address: the email address is wrong. Fix it on the contact, then click Send Again.
  5. Failed: read the Error line. Usually the contact has no email. Add it, then click Send Again.
  6. Cancelled: read Why it was cancelled. Click Send Now if it should still go out.
  7. Not on the list: the automation didn’t apply to this inspection. See Why didn’t my automation send?.
Automations you create or import later are added only to inspections booked afterwards, unless you chose Include existing future inspections when you saved it. It’s also missing if it’s limited to other services, or the inspection has no one with the recipient’s role (for example no listing agent). See Save your changes. To send it to this inspection anyway, use Compose Email and pick the automation as the email template.
Yes, unless you cancel the original. Send Now sends a copy and leaves the original scheduled. Click Cancel on the original reminder (the one still Scheduled) to stop the second send.
The card shows the automation’s wording. The placeholders are filled in when the message is sent. Click View Sent (sent messages) or Preview (waiting and scheduled ones) to see the filled-in version.
No. Edits to an automation apply to every inspection. To send different wording to one client, Cancel the message here and send your own with Compose Email.
No. Canceling the inspection stops the waiting and scheduled messages (they show as Cancelled, “The inspection was cancelled.”) and sends any Inspection Cancelled automations. Deleting the inspection stops them too and sends nothing. See Inspection statuses and Delete an inspection.
