Three places to change how reports look

Hive has three levels of report settings. The level you pick decides how many reports change. Template Tools and Report Tools share most of their settings. Turn a setting on in Template Tools and every new report from that template starts with it on. Change it in Report Tools to make an exception for one report.
The report always wins. A report copies the template’s settings when it is first created. After that, Template Tools changes never reach it. To change a report that already exists, use Report Tools.

Open Template Tools

You can open Template Tools from the template’s Overview, or from the template list.
1

From the template's Overview

The Template Overview header for a template called Hive Residential Template, with the blue Template Tools button with a wrench icon at the top right
  • Click Templates in the sidebar and open the template.
  • On the Overview screen, click Template Tools at the top right.
  • If the template has unsaved changes, save or discard them first. Template Tools waits until you do.
2

Or from the template list

A template card in the Templates list with its three-dot menu open, showing Template Tools first, then Move Up, Move Down, Duplicate Template, Share with Friend and Delete Template
  • On the Templates page, click the three dots on the template’s card.
  • Choose Template Tools.
Template Tools opens on a grid of tools. The second line of each card tells you its current setting. The Template Tools dialog for Hive Residential Template with twelve cards in two columns: Sort defect comments alphabetically, Sort defect comments by usage, Use only one category without specific name, Remove Recommendation Service, Set one service for all defect comments, Show Defect categories in the summary, Category Names, Show Defects Count by Category, Show Information and Limitation comments in tabs, Cost to Cure table, Context Layer and Hive Repair Estimator Click a card to open it. Each tool explains what it does in a colored box. Change the setting and click Save, or click Back to return to the grid without saving. You need the Edit Templates permission to open Templates. Account owners always have it.

Open Report Tools

Report Tools is in the Web Editor, on the web only. The mobile app does not have it.
1

Open the report in the Web Editor

  • Open the inspection and click Edit Reports, then pick the report. See Web Editor.
2

Click the three dots in the toolbar

The Web Editor toolbar with Preview, CYA, In-Report Photo Bank, the three-dot Report Tools button, Save, Unpublish and PDF
  • The three-dot button sits between In-Report Photo Bank and Save. Hover over it to see Report Tools.
The Report Tools dialog for Home Inspection Report, grouped under Report Editing, Order Management, Hive AI and Report Configuration. Settings cards show On or Off badges Report Tools has four groups: Report Tools changes save with the report, just like an edit. The Web Editor saves on its own a few seconds later, or you can click Save.

Settings you can change in both places

Each setting below is in Template Tools and in Report Tools, with the same name.
  • In Template Tools, it becomes the starting value for new reports from that template.
  • In Report Tools, it changes only the report you have open.

Use only one category without specific name

Hide the category name (for example Safety Concerns) from your client. Your client sees each defect, but not which category it belongs to. The Use only one category without specific name settings, explaining that the report writer still shows categories, with the Hide category name in customer view switch, off by default
  • Turn on Hide category name in customer view and click Save.
  • You still see and pick categories as you write, on the web and in the mobile app. Only the client’s view changes.
What your client sees:
A defect in the digital report with a red header, a Safety Concerns label above its description and a warning icon
With the setting on, every defect uses the same orange color, so the color doesn’t give the category away. In the digital report, the category labels, the category filter in the Summary view and the category legends disappear. In the PDF, the category labels and the summary legend disappear.
The Show Defects Count by Category card still shows the three category names and counts when this setting is on. If you hide category names, leave the count card off.

Remove Recommendation Service

Hide the recommended service (for example Electrical Contractor) from your client. The Remove Recommendation Service settings with the Hide recommendation service in customer view switch, off by default
  • Turn on Hide recommendation service in customer view and click Save.
  • The green service badge on each defect disappears from the digital report and the PDF. The service is also left out of the defects summary.
  • You still see the service while you write.
Turning this on also hides the one-click repair quotes at the end of the digital report, because quotes are matched to your recommended contractors by service. See One-click repair quotes.

Show Defect categories in the summary

Choose which categories appear in the report’s summary. For example, leave maintenance items out of the summary, so your client’s summary focuses on the bigger issues. The Show Defect categories in the summary settings with three switches, one per category: Maintenance Item, Recommendations and Safety Concern, each labeled Show this category in the summary
  • Each category has its own switch, labeled with its name. Turn off the ones to leave out and click Save.
  • At least one category has to stay on.
A category you turn off is left out of:
  • the Summary view of the digital report: its items, its filter button and its counts
  • the Summary PDF
  • the defects summary in the full report, when you use one (see Defects summary)
Its defects still appear in the full report.
The Summary view of a digital report with three Filter by Category buttons: Safety Concerns, Recommendations and Maintenance Items

Category Names

Name your three defect categories: blue (lowest severity), orange and red (highest severity). The Category Names settings with three text boxes: Blue Category, Orange Category and Red Category, each with a colored dot
  • Type the names and click Save.
  • The names appear everywhere your client sees a category: on each defect, in the legends, in the summary and in the PDF.
Where a report gets its names:
  1. Report Tools names, if you set them for that report.
  2. Otherwise, the template’s names at the moment the report was created.
  3. If the template has none, your company names in Report Customization.
A report keeps its names once it is created. Renaming the template’s categories only changes new reports. To rename the categories in a report that already exists, use Report Tools → Category Names.
New templates start with your company names from Report Customization. After that, each template keeps its own names. To rename categories in a template you already have, change them here in Template Tools.

Show Defects Count by Category

Add a card near the top of the digital report that counts the defects in each category. The Show Defects Count by Category settings with the Show defects count by category switch, off by default
  • Turn on Show defects count by category and click Save.
A card in the digital report titled Defects/ Deficiencies by Category with three tiles: 14 Safety Concerns in red, 47 Recommendations in orange and 2 Maintenance Items in blue
  • In the full report, the card sits above the introduction.
  • In the Summary view, the counts appear on the category filter buttons.
  • This setting is for the digital report only. The PDF does not show the count card.

Show Information and Limitation comments in tabs

Put each subsection’s Information and Limitation comments into two tabs, so the client sees the defects sooner. The Show Information and Limitation comments in tabs settings with its switch, and a note that the PDF and the report writer are unaffected
  • Turn on Show Information and Limitation comments in tabs and click Save.
A subsection called Foundation in the digital report with an Information tab selected and a Limitations tab beside it, followed by the Defects/ Deficiencies cards
  • Information is open by default. Your client clicks Limitations to see those comments.
  • Tabs appear only in a subsection that has both kinds of comment.
  • This changes the digital full report only. The PDF and the Summary view are unaffected.

Cost to Cure table

List every defect you priced in a table right after the introduction, in the digital report and the PDF. A Cost to Cure table in the digital report with 12 items grouped under Exterior, each with an item number, the defect name, an estimated cost range and a timeframe Only defects with an Estimated Cost are listed. If no defect has a cost, the table doesn’t appear. See Add a Cost to Cure table for how to price defects.

Hive Context Layer

Add AI market context to each defect: how common the issue is nationally and in the property’s state, and how easy it is to fix. A defect called Spalling/Damage to Parge Coating in the digital report with a Hive Context box showing about 28 percent of homes in the United States and 25 percent in California with this issue, and an Ease of Repair note
  • In Template Tools, open Context Layer and turn on On by default for new inspections.
  • In Report Tools, open Hive Context Layer and turn on Show Context Layer on this report.
The market context is created when the report’s PDF is built. It shows in the digital report and the PDF after the next PDF build. Turning it off hides it from the digital report right away. The Context Layer settings in Template Tools: what's included, Included for free in any recurring subscription plan, Context Layer is enabled for your organization, and the On by default for new inspections switch, with Review Document and See this report buttons

Hive Repair Estimator

Price every defect by contractor trade in a separate PDF, emailed 15 minutes after you publish.
  • In Template Tools, turn on Generate automatically for new inspections and choose who gets the email under Share the estimate.
  • In Report Tools, turn the estimate on or off for one report. You can also preview it with Generate now. Previewing never emails anyone.
The Hive Repair Estimator settings in Report Tools with the Generate a repair estimate for this report switch on, a Repair estimate PDF panel with a Generate now button and No estimate yet, and a Review Document button The email recipients are set only in Template Tools. They apply to every estimate sent from then on, including estimates for reports that already exist. See Send a repair estimate.

One-click template actions

These three tools are in Template Tools only. They rewrite the template’s defect comments right away.
These actions can’t be undone. Reports already created from the template are not affected. Only new reports get the new order or service.

Sort defect comments alphabetically

Put the defect comments in each component in A to Z order. The Sort defect comments alphabetically confirmation with a red This action cannot be undone box and a Yes, sort alphabetically button
  • Only defect comments move. Information and Limitation comments stay where they are, and so do sections, subsections and components.
  • Click Yes, sort alphabetically to confirm.

Sort defect comments by usage

Put the comments you use most at the top, so you find them faster in the field. The Sort defect comments by usage confirmation explaining that the last 10 published reports for this template will be scanned and comments reordered by how often they were enabled, with a Yes, sort by usage button
  • Hive looks at the last 10 published reports from this template. It checks up to your 100 most recent inspections.
  • Within each component, the comments you turned on most often move to the top. Ties are sorted A to Z. Comments you never used go to the bottom.
  • Only defect comments move.
  • Click Yes, sort by usage to confirm.
If the template has no published reports yet, Hive has no usage to go on, so it sorts the defect comments A to Z instead.

Set one service for all defect comments

Give every defect comment in the template the same recommended service, for example Qualified Professional. The Set one service for all defect comments dialog with a Defect/ Deficiency Service dropdown, a count of the defect comments in the template, and a Continue button
  1. Pick a service from Defect/ Deficiency Service. The list comes from your recommendation services.
  2. When you open Template Tools from the Overview, Hive shows how many comments will change.
  3. Click Continue, check the summary, then click Yes, apply to all.
Every defect comment gets the service you pick, whatever it had before. The old services aren’t saved anywhere, so you can’t restore them all at once.

Other template settings

A few template settings live on the template’s Overview screen instead of in Template Tools. Like the settings above, they are copied onto each new report. The Template Settings card on the Template Overview: the Template Name box and the Ratings switch turned on, with ratings named Inspected, Not Inspected, Not Present and Defect/Deficiency, each with an abbreviation and a color
  • Ratings. Turn per-subsection ratings on or off, and name and color them. See Disable ratings.
  • Customer’s Info. The report name your client sees, and the introduction and summary text.

When your changes show up

Click Preview in the Web Editor to see the digital report the way your client sees it.

Copies and reinspections

  • Copy Report To… copies the whole report, including all its Report Tools settings.
  • Generate Reinspection keeps the hidden category name, the hidden service, the Cost to Cure table and the category names. Every other setting starts at its default.
  • Duplicate Template and Share with Friend copy every Template Tools setting along with the template.
